Task Manager
Create, schedule, assign, and track work tasks across your plants — one-time or repeating, each with its own sub-task checklist and attachments.
The Task Table
Each row is a task, with columns for Actions, Task Sub-Tasks, Task #, Plant, Task Name, Date Created, Created By, Recurrence, Due Date, Due Time, Status, Assigned To, Date Assigned, and Notes. The table respects the sidebar plant filter. Use the search box above the table to filter by keyword, or check Include deleted to see soft-deleted tasks.
Every task carries a task number in the form TSK-2026-3427: the year it was created and a counter that starts over each year, given when the task is created and never reused. Task names repeat; the number does not, so it is the short way to point at one task: "can you check TSK-2026-3427?". It shows in the Task # column, in the header of the task's edit and sub-task dialogs, and in the CSV export, and the search box matches it. Ask AI names it beside the task and links it to the task. Sub-tasks and the occurrences of a recurring task have no number of their own; they are addressed by the task they belong to.
Task Name, Due Date, Due Time, Status, Assigned To, and Notes are editable directly in the table — click a cell to change it, and the change saves automatically. Picking someone in Assigned To stamps Date Assigned for you.
Status is one of Not Started, In-Progress, Done, or No Data. Done is greyed out until every sub-task on the task is Done.
Plant, Task Name, Date Created, and Due Date are sortable, and column widths are resizable and saved between sessions. Hover Date Created or Date Assigned for the full timestamp.
Past Due
A red Past Due badge appears under the Due Date once a task's deadline has gone by. Hover it for the deadline that was missed.
- A task due today is not late until the day is out — or until its Due Time, when one is set.
- A Done task is never past due, whatever its dates say.
- The badge is derived from the dates rather than a status anyone selects, so it appears and clears on its own as you edit Due Date, Due Time, or Status.
The badge follows the Due Date column, so it marks one-time tasks and any task carrying a due date. A repeating task is driven by its schedule instead — see Recurrence below.
Row Actions
- Attach file — opens the task's file dialog. The paperclip becomes a green document icon, with a count, once files are attached.
- Edit — opens the full edit dialog.
- Occurrence log (repeat icon) — appears only on repeating tasks.
- Delete — soft-deletes the task.
Deleting hides a task rather than erasing it. Turn on Include deleted to see deleted tasks; they carry a recycle icon and cannot be edited.
Sidebar Actions
- Add New Task — opens the quick-create Task card at the top of the page.
- Edit Selected — opens the full edit dialog for the one checked task.
- Attach File — attaches a file to the one checked task.
- Print — opens a print-friendly view of the current table.
- Export PDF / Export CSV — download the current table.
- Delete Selected — soft-deletes the checked tasks.
- Home — returns to the dashboard.
Print and both exports cover the checked tasks when any are selected, and every task otherwise. In Enhanced menu mode the Add, Edit, Attach, and Delete buttons are hidden, because the row icons in the Actions column do the same job — see Personal Settings.
Creating a Task
Add New Task opens the Task quick-create card. Task Name, Plant, and Assigned To are required; Status defaults to Not Started, and Notes are optional. The Schedule / Recurrence section below sets when the task is due and whether it repeats — a Due time is required here, and a one-time task also needs a due date.
Recurrence
The Repeats dropdown offers Once, Daily, Weekly, Bi-Weekly, Monthly, Quarterly, and Annually, and the fields underneath change to match:

Active days picks which days of the week the task actually runs on — click the M–S buttons, or use the Weekdays, Weekend, and All presets. Every cadence also takes a Due time and a Schedule timezone; the timezone fills in from the selected plant's own timezone and updates whenever you change the plant.
The Recurrence column shows the cadence as a blue badge, or a grey "once" for a one-time task. The same picker appears in the edit dialog, so a task's cadence can be changed after it is created.
The Occurrence Log
A repeating task is a schedule rather than a single piece of work, so it is not tracked in one row. The repeat icon in its Actions column opens the Occurrence Log: one row per scheduled occurrence, covering the current month plus one month either side.
Each occurrence carries its own Period, Due date and time, Status, Assigned To, Notes, attachments, and sub-task checklist, so every period is recorded and stays auditable on its own. Occurrence status adds Skipped to the usual four values, for a period deliberately not worked.
Who can change what:
- Managers and admins can edit any field on any occurrence, including past and completed ones — corrections always have to be possible.
- Everyone else can log Status and Notes on occurrences of a task assigned to them, or of a task nobody is assigned to. Reassigning an occurrence is manager-only.
Cells you cannot edit are read-only rather than hidden, and say so on hover.
Task Sub-Tasks
Each task can have its own checklist, opened from the Task Sub-Tasks button in its row; the badge shows how many sub-tasks it holds. A sub-task carries its own name, due date and time, status, assignee, assigned date, and notes — all editable in the panel — plus its own attachments. Add sub-task adds another. Attachments here, and on tasks and their occurrences, open the same way as permit attachments: PDFs, photos, text and CSV files display in the browser, anything else downloads.
A task cannot be marked Done until every one of its sub-tasks is Done. The Done option stays greyed out in the table, and saving Done from the edit dialog is rejected with a reminder.
Sub-tasks the system created automatically are read-only for name and dates unless you created them or you are a manager or admin. Status, assignment, and notes stay editable either way.
On a repeating task the checklist works per occurrence: each occurrence gets its own copy of the parent's sub-task list, so completing today's checklist does not mark tomorrow's done.
History
Click the history icon on any sub-task row for a full change timeline — who changed what, when, and the old vs. new value. Changes to the task itself are recorded in the Audit Log for administrators.
